For a small business, AI automation means using software to do repetitive work that used to need a person: drafting emails, summarising documents, answering routine customer questions, reading invoices and moving data between systems. Start with one visible, repeatable task, use tools you already pay for (often Microsoft 365), set rules on what data goes into AI, and measure the time saved. ERS IT Solutions in Dublin 15, trading since 1983, helps Irish businesses adopt AI safely and builds custom AI agents with a team of 25+ developers.
AI vs automation: what is the difference?
Automation follows fixed rules you set: "when an invoice arrives in this mailbox, save the PDF to SharePoint and notify finance". It does the same thing every time and fails if the input changes shape. AI handles judgement and messy input: reading a scanned invoice in any layout, understanding what a customer email is asking, or writing a draft reply.
| Traditional automation | AI | AI automation | |
|---|---|---|---|
| Works on | Structured data, fixed rules | Language, images, unstructured data | Both |
| Example | Copy form data into a spreadsheet | Summarise a 40-page report | Read any invoice, extract fields, post to accounts, flag odd ones |
| Predictability | Very high | Variable, needs checking | High when designed with checks |
| Best for | Repetitive, rule-based steps | Drafting, summarising, classifying | End-to-end processes with some judgement |
So in AI versus automation, which is better? Neither on its own. Use rules-based automation wherever the steps are fixed, because it is cheaper and predictable, and add AI only for the steps that need reading or judgement.
How does AI automation work?
A typical AI automation has three parts. A trigger starts it (an email arrives, a form is submitted). An AI step reads or decides something (extract the order number, classify the request, draft a reply). Then normal automation does the rest (update the system, route to a person, send the email). Good designs keep a human approval step where a mistake would be costly.
RPA vs AI vs intelligent automation
Robotic process automation (RPA) uses software "bots" that click through screens like a person, which is useful for old systems with no API. Business process automation is the wider job of redesigning and automating a whole process. Intelligent automation is the term for combining RPA or workflow automation with AI. In Microsoft's world, Power Automate covers cloud flows and desktop RPA, and Microsoft lists Power Automate Premium at €13.00 per user per month paid yearly on its Irish site (Microsoft Power Automate pricing). Our Power Platform guide covers licensing.
AI automation vs AI augmentation
Automation means the AI does the task with little or no human input. Augmentation means the AI helps a person do the task faster: a draft, a summary, a suggestion that the person checks. For most Irish SMEs, augmentation is the right first step. It carries less risk, staff accept it more easily and it shows quickly where full automation would pay.
AI assistants vs AI agents: what is the difference?
An AI assistant, such as Copilot Chat or ChatGPT, answers when you ask and leaves the action to you. An AI agent is given a goal, plans the steps, uses tools and systems to carry them out and reports back. ERS describes the difference simply: chatbots answer messages; agents "understand objectives, break them into steps, call tools and systems, and carry out multi-step tasks" and then report back.
| Chatbot | AI assistant | AI agent | |
|---|---|---|---|
| Does | Answers set questions | Drafts, summarises, answers | Completes multi-step tasks |
| Uses your systems | Rarely | Reads what you give it | Reads and acts, within permissions |
| Example | Website FAQ bot | Copilot drafting an email | Update all open tickets for a client and notify the account manager |
AI agents vs RPA, workflows and automation
RPA and workflows follow a fixed path you design. AI agents decide the path at run time, which makes them better with exceptions and messy requests but less predictable. The sensible pattern is to use workflows for the fixed parts and let an agent handle only the steps that need judgement, with logging and approvals. Agentic AI and AI agents mean much the same: agentic AI is the approach, an AI agent is the thing you deploy.
AI agents vs SaaS
A SaaS product gives you fixed screens and features. An AI agent can work across several SaaS products on your behalf. Agents do not replace your CRM or accounts package; they sit on top of them and do the clicking and copying between them.
What are the best AI tools for business?
There is no single best AI for business. The best AI tool is the one that fits the job and keeps your data where it should be. A practical shortlist by job:
- Everyday writing and summarising: Microsoft Copilot Chat, included with eligible Microsoft 365 plans, or Microsoft Copilot for work across email, files and meetings. See our Copilot guide.
- Meeting notes and actions: Copilot in Teams or a dedicated meeting assistant.
- Workflow automation: Power Automate for Microsoft 365 users; other platforms if you run Google Workspace.
- Building your own agents: Copilot Studio inside Microsoft 365, or a custom agent where you need to act across non-Microsoft systems.
- Customer service: AI features in your helpdesk or website chat platform, connected to your own knowledge base.
- Marketing: AI writing and image tools for drafts of posts, ads and emails, with a person editing every piece.
- Data analysis: Copilot in Excel or Power BI for questions about your own figures.
- Document processing: AI that reads invoices, forms and contracts and extracts data.
- Business development: AI to research prospects, draft proposals and summarise tenders.
- Software development: AI coding assistants, which speed up developers but still need review.
If you want a top five for a typical Irish SME on Microsoft 365: Copilot Chat, Copilot in Outlook and Teams, Power Automate, Copilot Studio for one internal agent, and AI document processing for invoices.
What is the best AI chatbot for business?
For internal use, the best AI chatbot is one that answers from your own documents and respects permissions, such as Copilot over SharePoint or a private knowledge assistant. For customers, the best chatbot answers from your approved content, hands over to a person easily and says it is an AI. Under Article 50 of the EU AI Act, systems that interact directly with people must be designed so people are told they are interacting with an AI, from 2 August 2026 (AI Act Article 50).
How to use AI for a small business: where to start
- List repetitive tasks. Ask each person what they do every week that feels like copying and pasting.
- Pick one. Choose a task that is visible, repeatable and time-consuming, but not mission-critical.
- Check the data. What information does the task use, and is it personal or confidential?
- Use what you have. Try Copilot Chat or Power Automate before buying anything new.
- Write the rules. Which AI tools are approved, what data may go into them, who checks outputs.
- Measure. Time before and after, error rate, staff feedback.
- Scale. Only then move to the next task or a custom agent.
AI for customer service automation
AI works well for routine customer questions: opening hours, order status, booking changes, password resets. It drafts or sends answers from your approved content and passes anything unusual to a person. Measure first-response time and how often customers ask for a human. Keep a clear route to a real person, and never let AI make commitments about refunds or contracts without approval.
AI receptionist and AI phone answering for small business
AI phone answering services take calls, answer common questions, book appointments and pass messages or urgent calls to staff. They suit businesses that miss calls during busy periods. Before you sign up, check where call recordings and transcripts are stored, whether the provider is GDPR compliant with data held in the EU, how callers are told it is an AI and how quickly it hands over to a person.
AI for marketing in a small business
The best AI for small business marketing is the one your team will use with judgement. AI drafts social posts, email newsletters and ad variations quickly. A person should check every fact, price and claim, keep the voice of the business and never paste customer lists into a public AI tool.
AI in app development
AI now appears in two ways in app development: as a coding assistant that speeds up developers, and as a feature inside the app, such as search over documents, summarising or an agent that completes tasks. ERS builds both into custom applications. See agentive AI solutions.
The risks of AI in a small business
- Data leakage: staff pasting client data into personal AI accounts.
- Wrong answers: AI output that sounds right but is not.
- Oversharing: AI tools that can see more company data than the user should.
- Compliance: GDPR, and the EU AI Act's AI literacy duty under Article 4, which applies from 2 February 2025 and requires organisations using AI systems to take measures to ensure "a sufficient level of AI literacy" among staff (AI Act Article 4).
Ireland's NCSC public sector AI guidance recommends AI literacy training covering "acceptable use, data handling, and reporting of concerns along with the risks of Shadow AI" before staff get access (NCSC). It is written for public bodies, but the advice suits any business.
